Missed calls that get called back
Connect your virtual number and every missed call becomes a lead with a call-back due in 15 minutes. Plus one-tap bridged calls and a call log that fills itself.
The number on your hoardings and newspaper ads rings at the site office. When nobody picks up, the caller rarely leaves a message. They call the next project on their list. A missed call is one of the warmest leads a builder gets, and one of the easiest to lose.
Why are missed calls so easy for a builder to lose?
Someone who dials the number on a hoarding has already picked your project out of the ones they drove past, and they want to talk now, not fill in a form. But the site office phone rings while the team is walking a family through the sample flat or out on a pickup. By evening the missed calls are a list on one handset. Someone scrolls through it, calls back a few numbers, and has no way of knowing which ones were new buyers and which were already in conversation with a colleague.
Nobody is careless here. There is simply no record that the call happened, no owner, and no reminder. That is what TRET changes.
How does a missed call become a lead in TRET?
Connect your virtual number from Exotel, Knowlarity or MyOperator to TRET in Settings, under Calling setup. From then on, when a call is missed, TRET checks the caller's number. If it is new, a lead is created straight away with the source Missed call and assigned to your team by your usual rules. If the caller is already a lead, the call goes onto their history.
Either way, a call-back follow-up is put on the right person's list, due in 15 minutes, and it shows up on their phone like any other reminder. It sits in the same follow-up queue as every call, WhatsApp and meeting on the lead's timeline, so nobody has to check a separate list. Answered inbound calls are logged against the lead too.
How does one-tap calling work with a virtual number?
With Exotel connected, tapping Call on a lead rings the salesperson's own phone first and then connects the buyer, so the call goes out on your business number and is recorded against the lead. Without it, Call simply opens the phone's dialer with the number filled in.
Either way the call starts from the lead, so the salesperson has the lead's history in front of them before the phone is answered. That alone makes a call-back sound less like a stranger returning a missed call and more like someone who knows what the buyer asked about.
How do you log a call without typing?
After a call, the outcome takes two taps: connected, no answer, busy, switched off, wrong number or call back later, with an optional note. The first call to a new lead also stops its response clock, the same clock that runs on every portal lead. There is more on that in how lead response time and auto-assignment work.
If the buyer does not pick up, one-tap WhatsApp is on the same lead. It uses your own templates, filled in with the lead's name and project, goes from the salesperson's own WhatsApp, and is logged on the lead like the call was.
What does the Calls board show a sales head?
The Calls board shows today at a glance: calls made by each person, how many connected, total talk time, and every missed call still waiting, with Call back and Done next to each one.
Over a longer period, the reports pick up from there. The team leaderboard shows calls made by each salesperson, and the sources table lists every lead source, Missed call included, with its leads and conversion to booking. When the monthly meeting needs detail, the calls list exports as a CSV for the period you pick.
How do you set up a missed-call routine that works?
- Connect the number you advertise. In Settings, under Calling setup, connect the Exotel, Knowlarity or MyOperator virtual number that buyers actually see on your hoardings and ads.
- Check who is in the assignment pool. Missed-call leads follow the same assignment rules as every other lead, so make sure the people in the pool are the ones answering calls on the days the office is busiest.
- Call back inside the 15 minutes. The call-back follow-up arrives on the phone like any other reminder. Treat it like a fresh portal lead: say who you are, mention the project, and offer a site visit time.
- Log every outcome, even no answer. It takes two taps. A “call back later” with a short note tells the next person exactly what was promised and when.
- Clear the Calls board before the day ends. Work through every missed call still waiting with Call back and Done, so nothing is carried into tomorrow by accident.
What happens to call-backs that slip?
Some will. A site visit runs long, or the buyer is switched off twice. A call-back that is not done becomes an overdue follow-up, and overdue follow-ups are pinned to today on the calendar so they cannot quietly slip off the edge of the screen. The plan of the day that TRET sends every morning at 8:30 lists what is overdue next to what is due, so yesterday's missed caller is the first thing someone sees. Read more about planning the day in TRET's calendar.
Missed calls stop being a list someone checks at the end of the day. They become leads, with someone already on the hook to call back.
FAQ
Which telephony providers can I connect to TRET?
You can connect a virtual number from Exotel, Knowlarity or MyOperator in Settings, under Calling setup. One-tap bridged calls, where TRET rings the salesperson first and then the buyer, work with Exotel connected.
What happens if the person who called is already a lead?
TRET does not create a second lead. The call goes onto that lead's history, and a call-back follow-up due in 15 minutes is put on the right person's list.
Who pays for the calls?
Calls through a telephony provider such as Exotel are billed by that provider. Missed-call capture is part of TRET's Growth plan, with no add-on to buy.
